How to Run a Fundraising Race Night in Scotland

A fundraising race night is one of the most enjoyable and reliable ways to raise money for a club, school or community group in Scotland. Done right, it can generate anywhere from £800 to well over £3,000 in a single evening — and it doesn’t require any previous experience to organise.

What Is a Race Night?

A race night is a fundraising event built around pre-recorded horse races shown on a large screen. Guests bet on each race using a tote system — buying tickets before each race and collecting winnings if their horse comes in. There are typically 8 races per evening, and your organisation keeps a share of the betting pot on each one.

The reason race nights work so well as fundraisers is that the entertainment and the income generation happen simultaneously. Guests are genuinely enjoying themselves — cheering on their horse, comparing bets, shouting at the screen — while your club or charity is raising funds. There’s no awkward ask, no sponsored silence. People spend money because they’re having a great time.

Step 1: Book a Race Night Company

Unless you’re hiring equipment and running it yourself (which isn’t recommended for a first event), you’ll engage a professional race night provider. What to look for:

  • Experience with Scottish clubs and organisations — ideally with real named testimonials from groups like yours

Step 2: Choose Your Venue

Almost any indoor venue with a decent-sized main room works for a race night. You need space for your guests, a clear wall or screen area for projection, and ideally the ability to dim the lights. Bowling clubs, golf clubs, community halls, pub function suites and sports club function rooms all work well.

Step 3: The Biggest Secret — Sell the Horses First

This is the single most impactful thing any race night organiser can do, and most first-timers don’t realise it until after the event.

Each race has 6–8 horses. Anyone — a local business, a committee member, a supporter who can’t attend — can “own” a horse for the evening by paying a set fee (typically £10–£20). If their horse wins, they receive a prize. If it loses, the fee goes to your organisation.

Selling all 48–64 horse slots across 8 races at £15 each generates £720–£960 before a single bet is placed on the night. Where to sell horse ownership:

  • Local businesses — they get a named mention on screen all evening, which they often value as advertising
  • Committee members and their families
  • Regular club supporters and season ticket holders
  • Anyone who can’t attend in person but wants to support the cause

Step 4: Promote and Sell Tickets

Race nights work best with 80 or more guests. Promotion is straightforward — the format is fun and easy to explain, and the fundraising cause gives people a reason to come even if they’ve never been to a race night before.

What works well:

  • A local Facebook post or community group announcement
  • A mention in the local paper or newsletter
  • Word of mouth through committee members and their networks
  • A raffle prize donation from a local business as a selling point
  • A themed dress code — themed nights consistently boost ticket sales

Step 5: On the Night

Once guests arrive, the evening runs like this:

  1. Doors open, guests collect race cards
  2. The compere welcomes everyone and explains the evening
  3. Race 1 announced — tote sellers circulate and guests place bets
  4. The race plays on screen with live commentary
  5. Winnings paid out and horse owner prize awarded
  6. Repeat for races 2–8 with breaks for drinks and conversation
  7. Optional disco or Banging Bingo after the final race

How Much Can You Raise?

As a rough guide:

  • 50 guests with solid horse sales: £600–£900
  • 100 guests with solid horse sales: £1,200–£2,000
  • 150+ guests with excellent pre-event preparation: £2,500–£3,500+

Do we need experience to organise a race night?

Not at all. Most Premier Disco race night bookings come from first-time organisers. We guide you through everything before the event — ticket pricing, horse sales, venue setup — and handle all the technical side on the night.

How far in advance should we book?

We recommend at least 6–8 weeks, which gives you enough time to sell horses and tickets before the night. Autumn and pre-Christmas dates fill up quickly, so the earlier you get in touch the better.

How many guests do we need?

Can we use real money for betting?
